AGRO can save money if you use the purchasing agreements

AU's target is 90% compliance, which is why the purchasing agreements have come to stay and MUST be used

In accordance with AU's procurement policy, purchases must always be made on AU's own purchasing agreements or agreements, which AU has joined via SKI or Statens Indkøb. You have to contact the Purchasing Department, if the purchase cannot be made on one of the established agreements. The purchasing agreements can be found here.

All AU's purchases, whether funded by the university's ordinary or external funds, are subject to the rules of public administration. This means that AU must subject the procurement of goods and services to competitive procedures in accordance with the Danish Procurement Act. Here, a distinction is made between purchases above and below the threshold value (1,558,409 excluding VAT) provided by law. When purchasing below the threshold, it must also be assessed whether the purchase may be of interest to foreign suppliers. This may sound difficult, but fortunately there is always very good help to get from the Purchasing Department.

  • For purchases under DKK 100,000 (without interest from abroad), 2-3 offers must be obtained
  • For purchases below DKK 100,000 (with interest from abroad), Purchasing must be included

AGRO has a number of purchasers who are responsible for the institute's procurement - find them here (Link). When ordering goods, the following information must be provided.

  1. Aarhus University – VAT no. DK31119103
  2. EAN no. - Your unit’s EAN no.
  3. Buyer and requestor – Name of requisitioner and approver
  4. Product/product description – Unique and accurate
  5. Case/case task

Lack of information on the invoices entails a large expense for handling invoices.

Unfortunately, AGRO is far from reaching the 90% compliance target. One tool to approach this goal is e-commerce, which is now possible in the areas of office supplies, stationery, coffee / tea and laboratory products. One side benefit of e-commerce is that several studies show that transaction costs are almost halved by e-commerce.

The key message is therefore - always use the purchasing agreements and e-commerce when possible, so that AGRO can approach 90% compliance and save money.
