Altered requirements in regard to FP7 and H2020 projects
Scanned documents are sufficient documentation.
In the continued work of easing and facilitating administrative processes, it has been resolved that in the matter of AU’s interpretation of the rules of documentation for EU projects under FP7 and Horizon 2020 the rules can be changed somewhat without incurring greater risks for each project.
The interpretation of the rules of documentation has been discussed with EuroCenter under The Danish Agency for Science, Technology and Innovation, PWC, and other relevant parties. It has been concluded that AU can loosen up a bit on the interpretation of the documentation requirements in relation to expense reports. Up till now there has been required a physical Annex, where available. For instance taxi voucher, hotel bill, etc..
It is now agreed that the scanned Annex is sufficient documentation.
The senior management team has also been presented to the change in practice and have endorsed the change.
Regarding future expense reports in connection with EU projects under FP7 and Horizon 2020 you only have to enclose the documentation electronically (i.e. scanned documents). The change comes into effect from 1. January 2016.
