When AU change systems, all requirements cannot always be met

AU will change its HR system from the beginning of 2023, and the new system will contain a time registration module to replace ProMark.

In general, the employees in many parts of AU will not feel the big changes when transitioning to the new system – mitHR, but for most employees at Tech, the transition will be very different.

The university management has decided to ensure uniform digital solutions to support processes regarding time registration and that general time registration is not required. From now on, we will therefore only have to record time where it is a requirement from the external funders, or where it is required for accounting purposes.

What will this mean for employees in AGRO

  • From the beginning of 2023, we will only have to register time when there is a requirement for it.
  • The project controllers get more work allocating time on projects where time is not recorded. This work must also be followed closely by the project leaders.
  • Working time balance will not be supported by a central solution in the future but should be made in spreadsheets instead.

This means that we will not, as now, have a complete time registration on projects. On the other hand, we will probably in future be more able to bring home the full funding from e.g. EU projects, where our registration of time often has been above the annual norm, and therefore has given us a lower hourly rate than we actually have.

It is still unknown how we get information on which projects require registration and who is budgeted on the projects. When the management receives further information, this will be announced at staff meetings.

With regard to working time balance/flex hours, we maintain our agreement in AGRO. This agreement applies to all technical/administrative employees in the department, see here (in Danish). An example of a spreadsheet for registering working hours can be seen here.

From AGRO, we hoped that overtime was included in the new system. This wish has not been fulfilled. Therefore, we are currently working in collaboration with union representatives to get the form currently used by the field staff corrected so that it meets all requirements.
